Prioritizing the outcome of the user experience ensured that the technology used, served the attendees effectively. Here's an overview of the what it took to achieve this success:

THE CLIENT
The Idaho Milk Processors Association (IMPA) is a non-profit organization whose mission is to promote the Idaho dairy industry. Every year they meet in Sun Valley, Idaho for their annual conference which is one of the leading dairy industry events in the country.  With over 500 attendees and growing, technology has played more and more of an integral approach in creating a seamless experience for the attendees and adding new opportunities for sponsorship and networking.

KEY INSIGHTS

Event Growth and Complexity: Over the years, the IMPA Annual Conference has grown significantly in terms of attendees and activities. This growth has led to a diverse range of registration types, making it important to offer accessible and customized experiences for each attendee category.

Sponsorship Opportunity: This year we introduced the app as a sponsorship opportunity which gave companies the chance to further enhance their exposure at the event. As we continue to educate and showcase the benefits of an app, we are likely to see an increase in interest and revenue from these new, sponsorship opportunities.

App Adoption Strategy: We used a multi-step strategy for app adoption. This included sending out email notifications to attendees, placing paper and digital signage with QR codes around the event to allow for on-site app downloads, as well as providing step-by-step guides. As a result, feedback from attendees indicated that the instructions were very useful, the app was easy to download and user-friendly.

Personalized Notifications: On the event planner side, the app allowed us to send targeted and conditional notifications to specific attendee groups. This enabled efficient communication about schedule changes, session updates, and activities, enhancing the overall event experience.

Engagement and Interaction: Attendees started to embrace the app's messaging capabilities, both for networking and session interaction - allowing them to ask anonymous questions during sessions that were managed by a moderator. This feature enhanced engagement and interaction among attendees and between attendees and speakers.

Learning, Adaptation & Event Growth: While the initial adoption was successful with attendees, there is always room for improvement. One solution is to incorporate an API that will link the registration platform directly to the app, thereby streamlining data from one platform to the next. It would also allow us to send out links and information about the app way ahead of time so people can download and become more familiar with features, increasing interaction even more.  

 

As this event continues to grow and attract attendees from various regions, the role of the event app will become even more critical. By leveraging its capabilities, the app will become a hub for interaction, collaboration, and the exchange of ideas that go beyond physical borders, enriching the event's overall impact and value for years to come!
